Presenter Guidelines

If you are scheduled to present an oral or poster presentation at NACOB 2022, please take note of the following information below.

Symposium Presentation Guidelines

Each symposium is 90 minutes in length including time for Questions and Answers.  Kindly ensure that there is ample time for audience participation and discussion during the scheduled symposium time.

The meeting room will be equipped with:

  • Projector and screen (please use 16:9 slide ratio)
  • Lectern microphone
  • Laser pointer and slide advancer

You will be required to use your own laptop to connect to the LCD projector. Please note, HDMI cables will be provided. If you use a MAC or have a different connection, please provide your own adapters/dongles. You are able to test your laptop during the lunch break or during coffee breaks prior to your session.

For ease of transition time, it is recommended that presenters load presentations to one laptop.  Please note this is not required, only recommended.

Please test your presentation in advance to ensure that all slides/images/videos are working properly.

Individual Oral Presentation Guidelines

All individual oral presentations are 10 minutes in length plus two (2) minutes time for Questions and Answers. There will be a session chair who will advise you of the time remaining during your presentation, kindly observe the time restrictions out of respect for other presenters.

The meeting room will be equipped with:

  • Projector and screen (please use 16:9 slide ratio)
  • Lectern microphone
  • Laser pointer and slide advancer

You will be required to use your own laptop to connect to the LCD projector. Please note, HDMI cables will be provided. If you use a MAC or have a different connection, please provide your own adapters/dongles. You are able to test your laptop during the lunch break or during coffee breaks prior to your session.

Poster Presentation Guidelines

There are two designated poster sessions, Monday & Wednesday. Kindly set up and remove your posters during the allocated poster times so as not to impact other presenters. 

Recommended poster information includes:

  • Keep text to a minimum
  • Ensure text is in large font
  • Use graphs, charts and/or tables
  • Ensure contents have a logical flow
  • Make it colourful

The maximum size for your poster is 100x100cm but you do not need to use the full space.  Push pins will be provided for you to adhere the poster to the board.

*Removal of posters at the end of the display period is the responsibility of the author(s).  Posters not removed by the deadline will be removed and disposed of by meeting staff.  Please note that the posters will be held at the registration desk until the end of the conference after which time they will be recycled.

There are two poster sessions, kindly take note of your poster session and the set up/tear down times.  Please note, poster presenters are not required to stand at their poster during the 15:00 coffee break, but it is encouraged to have your poster up and be available should someone wish to discuss prior to the scheduled poster session.

Poster Session 1 – Monday August 22

Set Up: Between 7:30 – 17:00

Session Time: 17:00 – 19:00

Tear Down: Please tear down by 17:00 on Tuesday August 23

Poster Session 2 - Wednesday August 24

Set Up: Between 7:30 – 17:00

Session Time: 17:00 – 19:00

Tear Down: Please tear down by 15:30 on Tuesday August 25

Thematic Poster Presentation Guidelines

There is a thematic poster session daily during the conference.  Please review the session you are scheduled for. Thematic posters must be set up at the beginning of the session and removed immediately following the session.

All thematic poster sessions will have the same format lasting a total of 90 minutes. These will begin with a 20 min conventional poster session where the poster boards will be in the assigned meeting room and the presenting authors available to discuss the work. Following the poster review time, the session will consist of six 3-min “elevator-pitch” style presentations, each followed by 5 minutes of audience discussion with the author. The session will conclude with a 20 min open discussion between the authors and the audience. These sessions have been extraordinarily well received in past years.

The maximum size for your poster is 4ft high x 6ft wide (landscape layout) but you do not need to use the full space.  Push pins will be provided for you to adhere the poster to the board.  Please note the size of the poster is different for a thematic poster presentation than a regular poster session.
